Arup’s business in Canada is flourishing and is growing rapidly. We are delivering complex and exciting projects and poised to win and deliver more across a range of business areas in Quebec, Ontario and Alberta.
We are currently seeking an Office / Facilities Manager.  The position will be based in Toronto with responsibilities for our Toronto and Montreal facilities as well as project based site locations when required.  The role will support approximately 220 staff and 30,000 square feet of downtown core office space in the two locations.
Responsibilities Include:
  • Handle the day to day operations with decisions being based on short and long term planning horizon.
  • Act as primary contact with landlord and sub-tenants.  Understand all lease agreements and ensure all terms and conditions of leases are adhered to. 
  • Work with vendors on ensuring services contracted are correctly accomplished.  Understand all contracts and be prepared to negotiate renewals or new contracts.
  • Oversee procurement and distribution of office supplies. 
  • Plan and oversee daily catering needs.
  • Standardize high quality visitor experience.
  • Assist in organizing and delivering client and staff events. 
  • Ensure office facilities  remain in state of good repair and are kept in orderly fashion 
  • Supervise reception staff.
  • Oversee space planning and utilization efforts to accommodate projected employee headcount across our Canadian locations, especially during Intern/Co-Op and Grad seasons. 
  • Work with senior management and real estate advisors to find, lease, design, fit out, furnish and move into new premises in Montreal and Toronto in next 18 months. 
  • Chair the facility’s Health and Safety Committee.  Lead the implementation of the relevant actions decided upon by the Committee.  Participate as a team member of the America's Region Health and Safety. 
  • Develop and implement the company’s Corporate Sustainability Policy within your areas of concern. 
  • Prepare reports and presentations for review with the senior business managers.  This includes providing information and assisting in decisions about lease renewal and/or relocation. 
  • Manage staff communication regarding all Facilities issues.
  • Vendor development, negotiations and managing budget for supplies, catering etc
  • Interfacing with in-house printing consultant
  • Ideal candidate will have 5 plus years of broad general management experience in a professional services environment. 
  • Focus on operations and facilities management with an emphasis on forecasting, planning, analysis and execution. 
  • Bachelor’s degree or higher in related field along with relevant experience.
  • Must have proven supervisory experience, strong communication skills both verbal and written; ability to handle multiple tasks, must be flexible and be able to meet deadlines in a fast-paced environment.
